QuickBooks Desktop Hosting

QuickBooks Hosting Built for CPA Firms and Growing Businesses

QuickBooks hosting puts your licensed QuickBooks Desktop on a secure cloud server, so your whole team can open the same company file from the office, from home, or from a client’s site. TechFiscal builds, secures, and manages that environment for you, with multi-factor authentication, encrypted sessions, and tested backups. You keep the Desktop features you rely on. We take the server off your desk.

How it works

Your License, Our Secure Server, Your Team Anywhere

01

QuickBooks runs on a managed cloud server

Your licensed QuickBooks Desktop (Pro Plus, Premier Plus, Accountant, or Enterprise) is installed on a Windows server in a professional data center. The company files sit on that server too, so there’s one copy everyone works from.

02

Users connect through an encrypted session

Each person signs in with a password and a multi-factor prompt, then opens QuickBooks in a remote desktop window. The software runs on the server. Their laptop only shows the screen, so no client data is stored on it.

03

Works on Windows, Mac, and tablets

Because the processing happens on the server, a Mac or an older PC performs like the server does. Multi-user mode works the way it does in the office, as long as you have enough licensed seats.

Understanding QuickBooks hosting

What Is QuickBooks Hosting?

QuickBooks hosting is a service that installs your licensed copy of QuickBooks Desktop on a remote cloud server and lets authorized users access it over the internet. You get the full Desktop feature set, including industry editions, advanced inventory, and job costing, with the remote access and shared files of a cloud app. It’s also called QuickBooks cloud hosting, hosted QuickBooks, or QuickBooks remote hosting.

Why it matters

QuickBooks Desktop Isn’t Going Away. Your Server Should.

Plenty of firms still need Desktop. QuickBooks Online doesn’t match Enterprise’s advanced inventory, industry editions, or the client file workflows many accountants depend on. But running Desktop on an office server comes with old problems: one hard drive failure away from lost data, a VPN that breaks during tax season, and a server nobody has patched since the last person who knew how left. Hosting fixes that without forcing a switch to a different product. You keep the software your team already knows and move the risky part, the server, to people whose job is keeping it running. For a side-by-side look at the alternatives, read our guide to QuickBooks in the cloud: Online vs hosted Desktop.

Who it’s for

Hosted QuickBooks for Firms That Can’t Afford Downtime

If more than one person needs QuickBooks Desktop, and at least one of them works outside the office, hosting usually costs less than maintaining a server, and carries far less risk.

CPA & Tax FirmsAccounting FirmsBookkeepersEnrolled AgentsMulti-Location BusinessesInventory & Distribution

Client files in one place

CPA & Tax Preparation Firms

Keep every client’s QuickBooks file, your tax software, and your document tools on one secure server. Staff and seasonal preparers sign in from anywhere, and you control exactly which client files each person can open. It’s one of the core services in our IT for CPA firms practice.

Real-time collaboration

Accounting & Bookkeeping Firms

Stop trading backup files and accountant’s copies back and forth. You and your client can work in the same hosted file at the same time, so reconciliations, adjustments, and month-end close happen in one place instead of three.

Enterprise-grade features

Growing & Multi-Location Businesses

QuickBooks Enterprise users running advanced inventory, job costing, or several warehouses get the speed of a dedicated server and access from every location. It fits neatly into our wider IT services for growing businesses.

Security-driven moves

Firms Leaving an Ageing Office Server

If your server is out of warranty, your remote access depends on a single VPN, or you’ve had a security scare, hosting is the quickest way to a cleaner, monitored setup without buying new hardware.

What’s included

Everything Your Hosted QuickBooks Environment Needs

We don’t hand you a login and walk away. Every TechFiscal QuickBooks hosting setup is planned, built, secured, and supported by the same team that manages IT for accounting firms every day.

01

Managed Cloud Server for QuickBooks

A Windows server environment sized for your users and file sizes, so large company files open and run reports without the lag you get over a VPN.

  • Shared or dedicated server options
  • Fast SSD storage sized for your files
  • Resources that scale up at tax season
Included
02

Setup, Migration & Testing

We move your QuickBooks company files, settings, and add-ons to the cloud, then test them before anyone starts working in the new environment.

  • Install and license registration
  • Company file and data migration
  • Printer, scanner, and add-on setup
Included
03

Multi-User Access & Permissions

Every user gets a named account. You decide who can reach which company files and folders, which matters a lot when a firm hosts dozens of client books.

  • Named user accounts, no shared logins
  • User and folder-level permissions
  • Quick onboarding and offboarding
Included
04

Layered Security & MFA

Security controls built around the FTC Safeguards Rule and IRS Publication 4557, the same rules your firm already has to follow.

  • Multi-factor authentication on every login
  • Encrypted connections and encrypted data at rest
  • Firewall, endpoint protection, and monitoring
Included
05

Automated Backups & Recovery

Your QuickBooks data is backed up automatically and kept off-site. If a file gets corrupted or deleted by mistake, we restore it, usually without you having to explain what happened twice.

  • Scheduled, automated backups
  • Off-site copies for disaster recovery
  • Restore testing, not just backup logs
Included
06

Add-Ons, Tax & Office Apps

Run the tools that connect to QuickBooks on the same server, so data syncs without workarounds. Supported apps depend on each vendor’s licensing terms.

  • QuickBooks add-ons and Web Connector apps
  • Tax software such as Drake, Lacerte, ProSeries, UltraTax
  • Microsoft 365 apps and document tools
Optional

Supported versions

Which QuickBooks Versions Can Be Hosted?

We host QuickBooks Desktop editions that Intuit still supports. Since September 30, 2024, Intuit has sold Pro Plus, Premier Plus, and Mac Plus only to existing subscribers. Enterprise is now the main Desktop product open to new buyers. Versions past their support date, such as Desktop 2023 after May 31, 2026, should be upgraded before or during migration, because they no longer receive security updates.

The stakes

The Risks of Running QuickBooks on an Office Server

Local QuickBooks setups rarely fail all at once. They drift: patches slip, backups stop running quietly, and remote access gets bolted on in a hurry. Here’s where firms usually get hurt.

Hardware Failure & Lost Data

+

A single office server or “main PC” is a single point of failure. When a drive dies and the last good backup is weeks old, you lose work, and in a firm that can mean re-entering client transactions under a deadline.

No redundancy, no off-site copy

Ransomware & Exposed Remote Access

+

Remote desktop ports left open to the internet, shared passwords, and unmanaged remote-control tools are some of the most common ways attackers get into small firms. Accounting data is a prime target. See how attackers are going after firms right now in our breakdown of ClickFix attacks on CPA firms.

Attackers target tax and payroll data

Unsupported QuickBooks Versions

+

Once Intuit discontinues a version, it stops receiving security patches, payroll tax updates, and online banking. Running it on an internet-connected machine is a security risk, and it causes real day-to-day problems too.

Intuit Desktop service discontinuation policy

Compliance Gaps

+

The FTC Safeguards Rule requires firms that handle customer financial information to use multi-factor authentication and to encrypt that data in transit and at rest. A local QuickBooks file on an unencrypted laptop doesn’t meet that bar. These controls also belong in your Written Information Security Plan (WISP).

What Hosting Changes

Moving QuickBooks to a managed cloud environment replaces the weakest parts of a local setup:

  • Single office server → redundant data center infrastructure
  • Open RDP or VPN → MFA-protected, encrypted sessions
  • Manual or forgotten backups → automated, off-site, tested
  • Ad-hoc patching → managed Windows and QuickBooks updates
  • Data on laptops → data that stays on the server

Buyer’s checklist

What to Ask Any QuickBooks Hosting Provider

QuickBooks hosting prices range from low-cost shared seats to dedicated servers, and the cheapest plan rarely includes what an accounting firm needs. Get answers to these questions in writing before you sign.

Security & Compliance Questions

  • Is MFA required for every user? It should be mandatory, not an optional add-on.
  • Is data encrypted in transit and at rest? The FTC Safeguards Rule expects both.
  • Where is the data center, and what audits does it hold? Ask for current SOC 2 reports.
  • How are backups kept and tested? Ask for the retention window and the last restore test.
  • Who is your Qualified Individual contact during an incident? You need a named person, not a ticket queue.

Service & Contract Questions

  • Is the server shared or dedicated? Find out what changes in performance and price if you upgrade.
  • Is migration included? Some providers charge separately for setup.
  • Can we host our tax software and add-ons? Confirm the full app list up front.
  • What are support hours and response times? Pay particular attention to tax season.
  • How do we get our data out if we leave? Exit terms and export rights should be clear.

Common questions

QuickBooks Hosting FAQs

What is QuickBooks hosting?+

QuickBooks hosting is a service that installs your licensed QuickBooks Desktop on a secure cloud server so authorized users can access it over the internet from any device. You keep every Desktop feature while gaining remote access, shared company files, managed backups, and professional security.

What’s the difference between QuickBooks Online and hosted QuickBooks Desktop?+

QuickBooks Online is a separate, browser-based product run by Intuit, with its own features and per-company plans. Hosted QuickBooks is the same Desktop software you use today, just running on a cloud server. Hosting keeps Desktop-only features like Enterprise’s advanced inventory and industry editions, and it doesn’t require converting your data. Our Online vs hosted Desktop guide compares them in detail.

How much does QuickBooks hosting cost?+

Pricing is usually per user, per month. It depends on whether the server is shared or dedicated, how much storage and backup retention you need, and which other applications you host. Low-cost shared plans often leave out migration, dedicated resources, or full security controls. We quote after a short discovery call, so the price matches your actual setup.

Do I need my own QuickBooks license?+

Yes. Hosting covers the server, security, and management, and QuickBooks itself is licensed separately through Intuit. You can generally use your current Desktop subscription. If you need more seats or an upgrade, we’ll help you work out the right licensing before migration.

Can multiple users work in the same QuickBooks file at once?+

Yes. Hosted QuickBooks runs in multi-user mode exactly as it does on an office network, so partners, staff, and clients can work in the same company file at the same time. You need one QuickBooks license seat for each simultaneous user.

Is hosted QuickBooks secure enough for a CPA firm?+

A well-run hosted environment is usually more secure than an office server. TechFiscal uses multi-factor authentication, encrypted connections, encrypted storage, firewalls, endpoint protection, and monitored backups. These controls line up with the FTC Safeguards Rule and IRS Publication 4557 and can be documented in your WISP.

Can I use QuickBooks hosting on a Mac?+

Yes. You connect to the hosted Windows version of QuickBooks through a remote desktop app, which runs on macOS, Windows, iPad, and most tablets. Everything runs on the server, so the Mac only displays the session.

Can I host add-ons and tax software alongside QuickBooks?+

In most cases, yes. QuickBooks add-ons, Web Connector apps, Microsoft 365, and common tax packages such as Drake, Lacerte, ProSeries, and UltraTax can run on the same server, subject to each vendor’s licensing. We confirm your full app list during discovery.

How long does it take to move QuickBooks to the cloud?+

For most small and mid-size firms, migration takes a few days from the discovery call to go-live. Larger files, many add-ons, or older versions that need upgrading can add time. We schedule the cutover so your team isn’t interrupted during deadlines.

Will QuickBooks Desktop be discontinued?+

Intuit hasn’t announced an end date for QuickBooks Desktop Enterprise. It does retire individual yearly versions on a schedule, though. All 2023 editions lost support after May 31, 2026. Hosting doesn’t change that schedule, but it makes upgrades easier because they happen on one managed server instead of on every PC.
